Marlo is the producer for Fawn of the Dead<\/em>, an independent Bambi-themed zombie movie that is shooting on location in the woods on the Bruce Trail, about an hour north of Toronto. It\u2019s a low budget production with a small team, so she has all kinds of different tasks. One of them is the coordination of craft services. <\/span><\/span><\/span><\/span><\/p>\n\n
It\u2019s Thursday night, and Marlo needs to make sure that the catering company they\u2019ve hired (Film Food Services) is ready to deal with the 50 extras that will be on set on Friday. Some of them have different food allergies or requirements. The shoot has to this point been pretty small, so this is a big change for FFS. <\/span><\/span><\/span><\/span><\/p>\n\n
It\u2019s after 11:00 p.m. and Marlo\u2019s been working for 15 hours straight. She\u2019s dead tired. She remembers she needs to confirm the catering order after she is already in the car and halfway back to her hotel. The only computer she has access to is at the production office, a 40 minute drive back into the woods. Marlo\u2019s cell service has been acting up and several e-mails she\u2019s sent from her phone this past week have not gone through. She could, however, place a phone call with the detailed order. Let's use the three characteristics of business communication to analyze the situation.<\/p>\n\n
Purposeful<\/strong><\/h3>\n\n
Marlo needs to keep her eyes on the prize. Despite being tired, and probably upset with herself for forgetting the order, she needs to make sure she gets the right food, in the right amounts, at the right time, in order to avoid a major disruption to the shooting schedule. <\/p>\n\n
Reader-Oriented<\/strong><\/h3>\n\n
Marlo needs sleep and she needs to not be driving all over the place in the middle of the night. She'd love to be able to just pull over and leave a phone message with the order. <\/p>\n\n
The caterers need accurate, detailed orders that are well-organized. They also need to be able to print out the order to simplify preparing, delivering, and serving the order. They are open early in the morning, but closed at night.<\/p>\n\n

The most time-efficient solution for Marlo in the moment is to leave a phone message, but is this the most efficient solution to her problem in the long run? How much more time and money will be lost if the message isn't received? What's at stake if the food doesn't arrive, or there isn't enough, or, worse still, someone has an allergic reaction on set?  <\/p>\n\n

Solution<\/strong><\/h3>\n\n
If you said you'd drive back to the office and place an accurate order by email, thereby leaving a paper trail for both Marlo and the caterers (or some variation on that answer), you've got a good head for business.<\/p>\n\n

As we saw from Fawn of the Dead<\/em>, there are a lot of ins and outs to consider when we need to solve a problem as a professional. <\/p>\n\n
Though we often think of communication as a simple two-step process, we're going to use a more complicated model to analyze our communication needs this term.<\/p>\n\n
The model we're using breaks every act of communication down into 5 steps.<\/strong><\/span> <\/p>\n\n

Step 4: The receiver decodes the message<\/h2>\n\n
This is where the power shifts from the sender to the receiver of the message.  <\/p>\n\n
If we have made good choices all along the cycle, our reader will decode our message exactly the way we intended when we encoded it.  <\/p>\n\n

We often think of communication as being a linear process, with the receiver as a terminal point. However, effective business communicators are always focused on the results of their communications. <\/p>\n\n
Feedback refers to whatever we receive in return for our messages.  <\/p>\n\n
Sometimes, this is another message (like a return email, for example). But it's important to expand our thinking about feedback beyond literal messages.  <\/p>\n\n
Feedback is most often an action.<\/strong><\/span> If I ask an editor to change an action sequence, the feedback I'm looking for is a new cut of the sequence. <\/p>\n\n
Feedback can even be an emotion<\/strong><\/span>. Marlo needs sleep and she needs to not be driving all over the place in the middle of the night. She'd love to be able to just pull over and leave a phone message with the order. <\/p>\n\n
The caterers need accurate, detailed orders that are well-organized. They also need to be able to print out the order to simplify preparing, delivering, and serving the order. They are open early in the morning, but closed at night.<\/p>\n\n
